Description

A Livermore non-profit organization, which assists with important and caring life decisions, is seeking a permanent, Full-Time Office Manager. The position is located at our Livermore office, Monday-Friday, 8am-5pm. Description: Manage all customer relationships;Prepare a variety of contracts depending on customer needs: e.g. immediate, long-term, scheduled payment, etc.;Define, order, and verify materials according to customer requirements;Manage all office communications: e.g. in-person, phone, postal, fax, email, etc. Prioritizes needs; address matters expeditiously and proactively; follow-through on projects to ensure successful completion;Coordinate events, grounds staff, and organization calendar information with meeting dates;Work with CPA for accounting audits, tax preparations, etc.;Work with regulatory departments for business and compliance registrations/audits;Maintain friendly, caring office decor;Support trustees and board-members on various administrative tasks;Ensures board materials are prepared and maintained in a timely manner;Copying, scanning, proofreading, filing, etc.;Maintain and backup computer system: documents, accounting system, contracts, images. Required Skills and Experience: Excellent interpersonal skills. Must be sensitive, caring, responsive, and respectful to individual and family concerns;Must be assertive and tactful, ensuring all site, county, state, and federal regulations are met;Ability to work independently, with staff, and with vendors;Ability to manage multiple changing priorities;Adaptable to both slow and fast paced environments;Maintain and build vendor relations;Create and maintain immediate, scheduled payment, and long-term care contracts;Exceptional record keeping skills: e.g. paper ledgers/files, computer spreadsheets, creating/organizing digital images, etc.;Generate financial and payroll reports;Organized and detail-oriented and with strong time-management skills;Excellent oral and written communication skills;Exceptional adherence to confidentiality and professionalism;Administrative experience preferred;Current and valid driver’s license;Computer skills: Intuit Quickbooks, Microsoft Windows, Microsoft Office (Word, Excel), email, anti-virus/anti-malware/security utilities, willingness/ability to learn new computer applications, strict adherence to office computer policies.
