Site Superintendent Job Description Supervision: Superintendent will report to and will be supervised by the Board and onsite manager. The following responsibilities shall be included but not limited to: 1. Maintain a presence at the building during working hours. Respond to emergency paging 24/7 as necessary. 2. Work closely with Property Manager and Board in the operation of the complex. 3. Maintain a professional, cordial attitude with all unit owners and return all phone messages from unit owners in a timely manner. 4. Perform daily inspection of physical property, exterior grounds, exterior of building, interior of common areas, laundry rooms, boiler rooms, storage rooms, pool facility, dumpsters, recycling and other common areas. 5. Supervise and direct staff in a professional manner. Supervise all employees (in-house and out sourced) to ensure that their responsibilities are adhered to and that they arrive and leave work on a timely manner. Notify Board of any discrepancies. 6. Prepare and maintain a schedule of weekly activities to be performed by staff. Ensure that activities are completed when scheduled. 7. Review maintenance requests daily. A daily log is to be kept detailing the general daily duties, emergencies arising during the day and incidents that may present liabilities to the Association, for inclusion in the monthly board meeting package. 8. Coordinate and complete all of the Building’s Work Orders and all other repairs (plumbing, electrical, carpentry, masonry, painting and landscaping) as required or scheduled. 9. Assist in scheduling and supervising all outside contractors and vendors. Oversee outside contractors; carpenter, mechanical, electrical, plumbing, landscaping and other trades to ensure that they are properly performing their work in a safe and professional manner. Assist tradespersons appropriately. 10. Coordinate and supervise snow removal and salting procedures with contracted snow removal vendor whenever conditions require. 11. Develop and advise management on a complete physical and mechanical preventative maintenance program for the building. Obtain competitive quotes for required work. 12. Arrange for all annual inspections and tests as required by state and local codes and insurance carrier - fire hydrants, boilers, etc. Keep professional and accurate records concerning Municipal and State Inspections, and generally required operating functions. 13. Develop and maintain a site management plan and operations and emergency manual of all mechanical systems. 14. Develop and maintain an accurate inventory of necessary tools and supplies, updating management on a monthly basis. Control and maintain tools, equipment and supplies. Maintain adequate supplies parts and materials for performing the maintenance of the property. Provide equipment, tool and supply inventories to Management and/or Board as requested. 15. Advise Board promptly and accurately of all necessary or anticipated repairs and purchases. 16. Adhere strictly and unconditionally to the policies and procedures for purchasing and expenditures as administered by the Board of Directors. Request approval for the purchase of equipment, tools or large quantities of supplies in advance of such a purchase unless an emergency situation requires immediate purchase. 17. Report any unusual occurrences or conditions to the Board. Immediately notify Board if tradesperson working for individual residents of the building are violating established policies and House Rules. 18. Responsible for executing within reason, all general repairs on the exterior and interior grounds and common areas. 19. Advise management in advance of vacation day and personal day requests when planning to be away from the site for one or more days. Arrangements for coverage must be made prior to requesting time off. 20. Attend scheduled Board meetings. 21. Perform any reasonable work requested by Management.
