Responsibilities Answer, direct and follow-up on all incoming emails and phone calls. Pick up and open mail and organize documents/files. Assist with calendar management and make appointments for the President Act as a professional liaison with business and personal contacts Manage schedules including itineraries, travel arrangements, and team meetings Schedule and arrange in-person and virtual meetings and conferences. Format information for internal and external communication such as, memos, emails, presentations and reports. Prepare letters and assist with presentations and reports. Scan and file paper/electronic documents and maintain filing system Coordinate special events such as celebrations, anniversaries and office functions Computer indexing of client emails. Order and manage office supplies as well as personal matters for the President. Handle all information in a highly confidential and discrete manner. Organize, load documents and manage updates of due diligence electronic data rooms for acquisition transactions Multitask and prioritize daily workload. Conduct various research and present findings. Special projects and personal requests from the President as needed Additional tasks as may be requested Requirements/Qualifications Bachelor’s degree (preferably business related) or equivalent. All applicants MUST have a minimum of 3-5 years of experience in a similar role, supporting a C-level executive or high-level individual. Excellent written and verbal communication skills, as well as very strong attention to detail. Ability to function autonomously in a fast paced ever changing environment. Strong computer and internet skills, including high proficiency using Microsoft Office (Word, Excel, Outlook and PowerPoint) Proficiency with cloud-based data storage tools like Dropbox, Microsoft OneDrive, etc. Highly motivated, with an ability to work independently, self- starter. Demonstrate ability to work successfully with different personalities and communication styles. Exhibit perseverance under pressure. Excellent research and problem-solving skills Strong capability to administer multiple projects simultaneously and prioritize workload. Ability to handle sensitive situations and confidential information with maturity and discretion. Team player with a solid work ethic and consistent follow-through. Capacity and willingness to provide executive support at times beyond the scope of a typical workday. Availability and willingness to work select evenings and some weekends as/if needed.
