JOB DESCRIPTION: *Receive incoming mail and sorts governing categories. • Counts sorted mail and annotates the incoming mail register to reflect the number of mail items in each category. • Operate the Omation equipment to electronically open each piece of mail. • Extracts and reviews the contents of each envelope, determines if it should be logged and/or scanned, expedited etc. determines which office/employee the item should be directed to and sorts mail based on it’s content. • Date/time stamps all certified, registered, and express mail, records addressee and receipt data in a database for reference and control purposes and route certified registered and express mail to the appropriate recipient for delivery on the day of receipt. • Picks up and sorts interoffice communications and outgoing mail and packages. • Sorts and date/time stamps and routes to the Customer Service Branch for delivery the morning after receipt. • Sort payment checks which are returned. • Operate the Opex system to cancel checks, assures that all returned checks have been defaced and inspects the Opex dumpster to assure that no checks were electronically routed for disposal and inputs returned check data reflecting payment unique data. • Sort checks received from the program agencies. • Annotates manual logs, inputs automated check control information and secures negotiable checks in a locked repository. • Operate a postal mail meter machine. • Sets controls for date and delivery class. • Monitors machine operations and makes adjustments for size, bulk and weight of mail items. • Activates an envelope sealer as required. • Monitor and troubleshoots check scanning operations. • Reviews equipment logs and recommends or places service calls as required. • Provides assistance to other section employees regarding system equipment usage. • Responsible for calendar management for leadership, which requires interacting with both internal managers and executives as well as external agency representative to coordinate a variety of complex meetings. • Independently make travel arrangements for leadership such as scheduling transportation, making reservations and preparing travel authorizations and vouchers in accordance with appropriate travel regulations. • Receive and distribute incoming mail, reviewing and evaluating the mail to identify items requiring priority attention and those items which can be handled independently. • Attend meetings to stay abreast of new initiatives or implementation through a tool or manual process. • Verifies and confirms requirements with business users in developers. • Leverages knowledge to develop business cases for programmatic and systematic applications. • Works in collaboration with a business users and technology partners to assess and validate solutions to ensure meeting stakeholder objectives. • Determines short-term or long-term goals and strategies to achieve them coordinates with other organizations or parts of the organization; and monitors progress and evaluate outcomes.
