Description
This position provides administrative and secretarial support for the department managers within OPTIMA. In addition to typing, filing and scheduling, performs duties such as coordination of meetings, conference calls, visits of interns from Germany, occasionally make travel arrangements, and working on special projects. This position deals with a high level of confidentiality, a diverse group of important callers and visitors, as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diverse workload.
Provides support to the company managers in the form of correspondence, filing, creating presentations and data entry.Coordinates travel, accommodations and workloads for visiting interns from Germany.Assists with recruiting, wellness program, and training.Occasional scheduling of travel arrangementsTypes and designs general correspondences, memos, charts, tables, graphs etc. proofreads copy for spelling and grammatical changes. Responsible for accuracy and clarity of final copy.Manages company issued cell phones and office phonesCalculates employee work hours for payrollCoordinate and support internal meetings such as lunch & learns, quarterly meetings, etc.

Required Education and Experience
Associate or Bachelors Degree
Human Resource Experience
5 years administrative experience
SAP experience and/or German language skills helpful but not required
