We are anevent planning company in NYC (Midtown East) seeking eager staff that are interested in the workings of a small business and all things events, style and weddings! Position: Event/Administrative/Research Intern Type: Part-time or full-time/ Weekdays and Weekends Location: NYC - IN PERSON Event Planning Company is looking for a hardworking and responsible event and research staff with a "can-do" attitude to join their dynamic team. Key Role: The key role for this position is to provide core administrative and research support to the Senior Planner, including calendar management, research, administrative tasks, booking & coordinating travel, managing expenses, and assisting with other ad-hoc projects as needed. This role will help to facilitate the day-to-day activities and administrative operations of the office & act as an extension of the Senior Planner. What You Should Be: * Active thinker, confident, hardworking, takes initiative, extremely motivated and resourceful. * Able to multitask and think quickly on their feet when put on the spot. * ·Social media obsessed and tech savvy! Must know how to use Instagram, Tic Tok, Facebook, LinkedIn. * Proficient in G-Suite and Microsoft Suite * Prior celebrity experiences (very helpful but not required). * Must have valid passport for travel. * Must have a valid driver’s license. * No-job-too-small mentality * Know how to maintain the utmost discretion and confidentiality * Fashion and wedding obsessed * Have excellent writing and verbal communication skill * Personable and engage with our brides * Highly organized and know how to find things on Google * Honest and reliable * Have an extremely neat and professional appearance at all times * Have the ability to multi-task and meet deadlines on a weekly basis Key Responsibilities: * Support Senior Planner by proactively managing their calendar to anticipate and resolve any scheduling conflicts. * Stay updated on all daily priorities and tasks, ensuring a seamless day-to-day schedule. * Assist the Senior Planner with all administrative tasks, such as scheduling meetings, managing expense reports, filing, shipping, ordering supplies, receiving visitors, and planning events and coordinating logistics. * Book travel, hotels, car service for international and domestic travel. * Develop, organize, provide and edit high level PowerPoint presentations, Excel spread sheets and Word documents as needed. * ·Maintain strong relationships with all members of the team and collaborate closely with other planners and interns. * Send emails out on behalf of Senior Planner. * Manage and update constantly Senior Planner’s calendar. * Assist in aspects of onboarding of new interns. * Support the team culture by organizing meetings. * Create meeting agendas and take & distribute minutes. * Assist the Senior Planner and team on ad-hoc projects and key processes (ie, annual comp review). * Set up Zoom links. * Update daily priorities. * Help with planning and logistics of events when needed.
